How Many Calls Is Your Business Actually Missing?
The gap between what contractors think and what actually happens is brutal.

Here's a number that should keep you up at night: you're probably missing 27% of your inbound calls. Not because you're lazy. Because you're on a roof, under a sink, driving between jobs, or elbow-deep in a panel box. The phone rings, you can't grab it, and the caller moves on.
But here's the part that really stings — you don't think you're missing that many.
The Perception Gap
Service Direct surveyed home service contractors and found something wild. Contractors believed they answered 97% of their calls. The actual answer rate? 66%. That's a 31-point gap between perception and reality (Service Direct, 2019).
Think about that. You feel like you're catching almost everything. In reality, one out of every three callers is hearing your voicemail — or worse, nothing at all.
A broader study by 411 Locals monitored 85 businesses across 58 industries and found even worse numbers: small businesses answer only 37.8% of incoming calls, with 37.8% going to voicemail and 24.3% getting no response whatsoever (411 Locals, 2024).
Voicemail Is Not a Safety Net
Here's where most contractors say, "That's fine — they'll leave a message and I'll call them back." No, they won't.
80% of callers sent to voicemail hang up without leaving a message (Forbes, 2024). Invoca's analysis of thousands of home service calls found it's actually worse than that — fewer than 3% of callers pushed to voicemail leave a message (Invoca, 2024).
The breakdown by caller type makes it even clearer. BIA/Kelsey research shows:
- 73% of first-time callers abandon voicemail
- 81% of price shoppers abandon voicemail
- 89% of urgent-need callers abandon voicemail
The people most likely to become paying customers are the least likely to leave you a message. Your voicemail isn't catching leads — it's a dead end with a beep.
What Happens After the Miss
When someone calls a contractor and doesn't get an answer, they don't sit around waiting. 85% of callers whose first call goes unanswered will not call back (PATLive, 2024). They're already dialing the next name on Google.
Service Direct's 2022 survey of 559 homeowners confirmed it from the customer's side: 40% said they rarely or never hired a contractor who didn't answer their initial call, and 35% said answering the first call was the single most important factor in choosing a contractor (Service Direct, 2022).
And the data on what happens next is just as damning: 62% of callers will immediately call a competitor if you don't pick up (Ring Eden/Aira, 2025).
So the sequence is: phone rings → you miss it → caller doesn't leave a voicemail → caller calls your competitor → competitor answers → competitor gets the job. That entire chain plays out in under 60 seconds.
The Math on What You're Losing
Invoca's 2024 home services data puts the average cost of a missed call at $1,200 in lost revenue. That accounts for the mix of routine jobs and higher-value work that comes through the phone.
If you're a plumber missing 8 calls a week (which is conservative for a busy shop), that's roughly $50,000 a year in potential revenue walking out the door (Suzee AI, 2025). For HVAC contractors during peak season, the numbers are even higher — system replacements run $5,000–$12,500 per job.
A 2025 Vida survey of small business owners found 42% estimate they're losing at least $500 per month just from missed calls. The real number is almost certainly higher — because most business owners, as we covered, dramatically underestimate how many calls they're missing in the first place.
The Fix Isn't "Try Harder"
You can't answer the phone while you're doing the work that pays the bills. That's not a discipline problem — it's a physics problem. You can't be in two places at once.
The question isn't whether you should answer every call. It's whether every call gets answered. There's a difference.
