AI Answering vs. Human Answering Service: What Contractors Need to Know

The real comparison isn't AI vs. human. It's what each option actually does for the money.

AI Answering vs. Human Answering Service: What Contractors Need to Know

If you've looked into answering services for your contracting business, you've seen the range: anywhere from $135/month to $1,200/month depending on who you hire and how many calls you get. Now AI call agents are entering the picture at a fraction of the cost.

But cost per minute isn't the whole story. Here's what the numbers actually say — and what matters for a contractor deciding between options.

Option 1: Full-Time Receptionist

The most expensive path, and the one most solo operators can't justify.

The U.S. Bureau of Labor Statistics reports a median receptionist salary of $37,230/year ($17.90/hour) as of May 2024 (BLS, 2024). But salary is just the start. AnswerHero's 2024 analysis adds payroll taxes, benefits, PTO, training, and overhead to arrive at a total loaded cost of approximately $40,164/year — about $3,347/month (AnswerHero, 2024).

And that covers Monday through Friday, business hours only. No weekends. No holidays. No 9 PM emergency calls. No coverage when they call in sick or take vacation.

For a contractor running a 1-5 truck operation, $40K/year for partial-day coverage is hard to justify — especially when 47% of your calls come outside those hours.

Option 2: Human Answering Service

The middle ground most contractors consider first.

DesignRush's December 2025 pricing update puts the average rate at $0.80–$1.17 per minute (DesignRush, 2025). NextPhone's 2026 breakdown splits it further: budget services run $0.75–$1.00/min, standard $1.00–$1.25/min, and premium $1.25–$1.50+/min (NextPhone, 2026).

For a small contracting business, the monthly tab typically lands between $135 and $500/month (AMBS Call Center, 2026; NextPhone, 2026). AnswerHero puts average contractor usage at 250–500 minutes per month, costing $249–$449/month (AnswerHero, 2024).

What you get: A human operator who answers your phone, takes a message, and maybe transfers emergencies. 24/7 coverage is available. The caller talks to a real person.

What you don't get: Someone who knows your trade, your services, your schedule, or the difference between a furnace failure and a filter change. They take messages. They don't book appointments, triage by trade-specific urgency, or remember that Mrs. Johnson called last month about her water heater. Every call is a blank slate.

The per-minute trap: During peak season — exactly when you need the service most — your bill spikes. An HVAC contractor's call volume can increase 425% during extreme weather (IBISWorld). If you're paying $1.00/minute and suddenly handling 4x the calls, your $300/month bill becomes $1,200. The pricing model penalizes you during the months you need coverage most.

Option 3: AI Phone Agent

The new category, and where the economics shift dramatically.

NextPhone's 2026 data shows AI answering services at $0.05–$0.30/minute — roughly 10–20% of live-operator rates (NextPhone, 2026). Flat monthly AI plans typically run $50–$300/month for unlimited or high-volume calling (NextPhone, 2026). Allo's 2024 comparison estimates a typical contractor handling 50 calls/week pays $300–$500/month with a human service vs. $100–$200/month with AI (Allo, 2024).

What you get with a modern AI agent: 24/7 answering, appointment booking, emergency triage, caller memory (returning customer recognition), trade-specific knowledge, SMS notifications, call recordings, and analytics. No per-minute charges on flat-rate plans. Scales during peak season without surprise bills.

What's different from a year ago: Today's AI call agents don't sound robotic. They use natural conversational patterns — contractions, thinking sounds, appropriate pauses. Housecall Pro's October 2025 survey found 53% of homeowners are comfortable with AI handling initial inquiries (Housecall Pro, 2025). The technology has crossed the threshold where most callers don't notice.

The question isn't really "AI or human?" It's "what do I need the phone to do when I can't answer it?"

If you need message-taking, a human answering service works fine. If you need someone who can actually handle the call — book the appointment, triage the emergency, recognize the returning customer — without blowing up your bill during peak season, the math points in one direction.
